Specification groups

Spec Groups allow you to structure data in your PIM, making the process of enriching content easy for everyone in the team. These are sets of attributes that contain all the necessary specifications for a specific product.

Specification groups in KatanaPIM can be effectively utilized for various purposes, and focusing on these three areas provides a clear and structured approach to managing product information. Here's an overview:

  1. Product type-based groups: Grouping specifications based on product types, such as electronics, clothing, furniture, etc. For example, a 'Mobile Phones' group may include specifications like screen size, battery life, processor type, and camera resolution.
  2. Material and composition groups: For products where material is crucial, such as in fashion or furniture, you could have groups like 'Fabric Composition' including cotton percentage, synthetic materials, etc.i
  3. Sales channel-specific groups: Tailor your product information for different marketplaces or sales channels. For instance, Amazon and Zalando might have different specification requirements.

Creating a new specification group

  • Step 1: Navigate to the 'Catalog' tab and select 'Specification Groups.' This section lists all your existing specification groups.
  • Step 2: To create a new group, click on 'Add New.' For instance, if you're creating a group for 'fashion,' name it accordingly.
  • Step 3: Enter the same name in the code field and then click 'Save.

Adding specifications to the group

Once you've named your group, the next step is to populate it with relevant specifications.

  • Step 1: In your new group, navigate to the 'Available specifications' section. Here, you'll see a list of all specifications you've created.
  • Step 2: Add necessary specifications to your 'fashion' group and arrange their order as needed.
  • Step 3: Make some specifications required if needed, by clicking 'Edit' and checking the respective box.
  • Step 4: After adding and adjusting specifications, click 'Save' to finalize your group.

Linking specification groups to products

Link your newly created specification groups to products in your catalog.

  • Step 1: From your catalog, select the product you want to edit.
  • Step 2: Under the 'Settings' tab, click on 'Specifications' to see your pre-created groups and specifications.
  • Step 3: Add the 'fashion' specification group (or any other group) to your product.

After you’ve added specification groups to a product in KatanaPIM, the product page will display an organized overview of all the specifications linked to the selected groups.

Here's how to interpret and work with this overview:

  1. Grouped Specifications Display:
    Once you've added specification groups to a product, they are displayed in expandable sections. Each group will contain all relevant specifications tied to that product, such as Material, Size, and Color in the Fashion specification group.
  2. Required vs. Optional Specifications:
    In this view, you can see both required and optional specifications for each group. Required fields are marked with an asterisk (*) next to the specification name (e.g., Color). This ensures that the critical product information is always complete.
    • Required: Mandatory fields that need to be filled before completing the product setup.
    • Optional: Fields that can be left blank but are useful for additional product details.
  3. If you see the word "Duplicated" next to a specification, it means this particular field appears in more than one specification group linked to the product. For example, the field Material could appear in both the Fashion and Digital Product Passport - Fashion groups.
    - Changes to a duplicated field: If you modify the value of the duplicated field (e.g., change "Organic Cotton" to "Polyester"), the change will be reflected across all specification groups where that field is duplicated.
    - Why duplicates occur: This feature is helpful when the same specification (e.g., Material or Manufacturer Name) needs to be consistent across multiple groups. You don’t have to update the same field in multiple places, ensuring accuracy and consistency.
  4. Filtering and Searching Specifications:
    You can easily navigate through your specification groups by using the filters and search functionality. Filters include options like:
    - Required/Optional:
    Allows you to display only required or optional specifications.
    - Filled/Empty:
    Filter based on which fields are already filled or left blank.

Bulk edit products based on specification groups

Efficiently manage multiple products linked to a specific group.

  • Step 1: Navigate to the desired specification group in your catalog (Catalog > Specification groups)
  • Step 2: Click on 'Bulk edit products.'

This allows you to view and edit all products linked to that group.

From here, you can make changes to both required and optional specifications across multiple products from a centralized interface.

This interface displays products within the specification group, simplifying the selection and editing process. On the left is a product overview. The columns marked by an asterisk (*) indicate the required specifications. Clicking on a product directs you to its edit page for individual management.
